Rotary Club of Fonthill
Special Board Meeting
March 26th, 2020
 
 
A special meeting of the board was held using ZOOM technology
 
Present :     Mike, Hugh, Mel, Ann, Annie, Frank, Bob, Angela and Dave

Welcome
Mike referenced that it was great to see everyone and connect again during a period of time which is challenging and stressful.  
 
Covid 19 Continuance Planning
Mike reviewed the plan for moving forward with meetings and the great work of Rotary during this time of self-isolation.
 
The board agreed to move meetings to Wednesdays at 5 p.m. and to use ZOOM technology to connect.  
 
Mike will email the club members to inform them of this and to let them know that should they wish they can connect by phone.
 
Through ZOOM you can continue to have powerpoint presentations, guest speakers and special presentations. 
 
Our first ZOOM meeting, on Wednesday, April 1st at 5 pm will be an intro meeting.  Angela will share some "how to" strategies.  Following this, Mike will ask POD leaders to connect with and confirm speakers for the upcoming weeks to that we can update our calendar.
 
Our subcommittees, such as Funfest ( postponed until September 12th) can also continue with ZOOM.
 
Frank and Angela confirmed that Rotary International and other groups will be continuing to connect and offer opportunities to engage members in the future.
 
We will continue to look for projects which we can engage in to support the community without endangering anyone.  
 
Ann will look into the potential for community cleanup during Earth week in April.  Please email Mike if you have other ideas for projects we can work on. 
 
Youth Exchange
Mike recently drove Fanny to the Toronto Airport and she is now safely home.  This was a difficult decision to make but done with great consultation with her family.  The hope is that she can still do her final presentation to the club later in the spring so that we can all have some closure.  Victor, our outbound student is still in Switzerland.  At the next board meeting discussion will be held regarding future steps for Youth Exchange.  Please note that RYLA and Slapshot have been cancelled.
 
Strategic Plan
Angela shared a draft document that summarizes our goals from RCC with our strategic plan.  She asked the members of the board to update this over the next week by adding who is connected with each activity and she will share it with the group.  
 
Pelham Support Network
Mike shared that the Fabulous Fenwick Lions connected with the Fonthill Lions, Town of Pelham and Kinsmen to launch this group to assist with volunteers.  The link has been shared with club members however apparently they have enough support currently. 
 
A discussion ensued of how Rotary Club of Fonthill members could support the community during this time of crisis.  Mel, Annie, Ann and Angela have agreed to examine the option of making home made face masks for essential workers who require this.  They connected with Jennifer Allen for materials.  Frank mentioned that the club can apply to the Rotary Foundation for money for supplies.  
 
The board also agreed that a request will go to members to consider donating what might have been the cost of breakfast to the Club to direct towards organizations such as Pelham Cares, Food4Kids Niagara or Rose City Kids.  There is an understanding that each individual circumstance is different however we are also aware that there is an increased need in our community to support many families and youth.
 
Arches
 
As a result of the closure of the schools of the Niagara Catholic School Board, the students will no longer be involved in assisting with the building of the arches.  This does reduce the potential cost of the arches as there were some inherent costs associated with staffing support at the board level.  
 
A discussion ensued as to potential next steps.  Frank is seeking some clarification from the Town as to its commitment and a confirmation of costs of some components.   He will report back to the board once these are received.
